    Switching

Switching to Uniconta with a fixed switching service

Choosing a new system is one thing; taking your data with you is another. We move your administration to Uniconta to a fixed scope: you know up front what comes across, what does not, and what it costs. Here you can read what is included and which page helps you next.

    Fixed scope

    What the switch includes

The fixed switching service covers these parts. It is agreed before we start.

    • The chart of accounts, mapped to RGS.
    • Master data: customers, suppliers and items.
    • The opening balance and the open items: receivables and payables.
    • All open orders on the switch date: sales orders, purchase orders (including partly received ones), production orders (remaining quantity and components, with consumed material as work in progress), customer and supplier returns, transfers between locations, active subscriptions and recurring invoices with their next invoice date, valid quotes, and open projects with budget and work in progress. The old order numbers are kept as a reference.
    • Stock per item and per location, with cost price.
    • The current financial year in detail when you switch mid-year, through the XAF audit file. Uniconta imports XAF 3.2 and 4.0.
    • The previous financial year as monthly totals per ledger account.
    • Older years are kept as an archive of audit files. That covers the retention obligation. They are not loaded into Uniconta.

    What is not included

    • Order, quote and item history older than the open items.
    • Custom reports from your old package.

    The switch date

We prefer to switch on 1 January or at the start of a quarter. Then the period in your old package closes cleanly and Uniconta starts with a clean period. Another date is possible; agree it with us at the start.

    From any Dutch package

The financial migration works from any Dutch accounting package, because every Dutch package can produce an XAF audit file. We do not claim live connectors to the packages you come from: we work with the files your package creates itself.

    Approach

    How the switch runs

    1. 1. Introduction and fixing the switch date

We look at which package you are coming from and agree the switch date and the scope together.

    2. 2. Supplying the files

You export the audit files and lists we need from your old package. We tell you exactly which ones.

    3. 3. Trial conversion and checks

We load the data into a test environment and compare balances, open items and stock with your own figures.

    4. 4. Final transfer

On the switch date we take over the latest positions and transfer the open orders.

    5. 5. Go-live and aftercare

You work in Uniconta and we support the first period.
