    Switching to Uniconta

    From King to Uniconta

Do you work with King software and want a system you can grow with? Then you want to know what happens to your accounts, your stock and your running orders when you move to Uniconta. Here you can read how that switch runs.

    How it works

How the switch from King runs

With King accounting software you start with the financial data. Like any Dutch accounting package, King can create an XAF audit file. That audit file is the basis: the current financial year in detail if you switch mid-year, and the previous year as monthly totals per ledger account.

In addition we ask you to export from King the lists we specify beforehand: customers, suppliers, items, stock per location and the open items. We load those into a test environment and compare them with your own figures before we make anything final.

On the switch date we take over the latest positions and transfer the open orders: sales and purchase orders, production orders, returns, transfers between locations, subscriptions, quotes and open projects. The full sequence is in the step-by-step plan.

An advantage of working with files is that you see exactly what we load. You can open the audit file and the lists before they come to us, and in the trial conversion you again compare against the old package. That prevents anything being transferred that nobody has looked at.

For a company with stock, the count is the core of the check. We compare stock per item and per location in the test environment with your own figures, cost price included. If something is off, we find out where the difference lies and repeat the trial.

Preferably plan the switch for 1 January or the start of a quarter. That way you close the old package cleanly and start Uniconta with a clean period. If it has to be mid-year, we take the current financial year along in detail through the audit file.

For your team, what mostly changes at first is where things are. The sales invoice, the purchase order and the stock movement still exist, but they are called something else or sit on another screen. So plan a short walk-through of the main processes before you go live, so the first working day is not the first introduction.

Include your active subscriptions and recurring invoices in the planning too. They move across with their next invoice date, so that no invoice is skipped or sent twice. Check in the test environment that the dates match what your customers expect.

We do not state King amounts. The current bundles and prices are on King’s website.

    What often goes wrong

    What to watch for

A switch from a package you have used for years calls for careful preparation.

    • Running orders

For a trading company the open orders are the critical part. A switch in which they do not come along makes your staff do double work in two systems.

    • Stock and cost price

Stock per item and location has to be right on the switch date, with the right cost price. We check that in the trial conversion against your own count.

    • Choose the right date

The switch date decides how much you take along in detail. We recommend 1 January or the start of a quarter.

    • All or nothing

You do not have to take every line from the past. What is older than the open items, such as order and quote history, is outside the fixed scope.

    • Connections with other systems

If you have a webshop, bank or other system connected, take stock of that first. Connections to, for example, your bank or webshop are possible in Uniconta; what comes with them we agree with you beforehand.

    • Custom reports and lists

Reports you made in your old package are not taken over. Custom reports are outside the fixed scope. You start with the standard reporting of Uniconta.

    In Uniconta

    What you get in Uniconta

Uniconta is cloud ERP for finance, trade, production and projects. We set up the chart of accounts mapped to RGS and transfer the master data, the opening balance and the open items.

Uniconta imports XAF 3.2 and 4.0. What else Uniconta does is on the Uniconta page. We work with the files you export from King; we do not claim a live connector to King.

In the set-up we follow the standard of Uniconta. The standard first, only then deviations. We do not develop custom work in Uniconta, and that is why we can give a fixed price. That suits an SME that wants to know where it stands.

If you are curious about amounts: King and Uniconta each publish their own prices. We do not put King amounts here, because we cannot keep them up to date ourselves. Below this text you can see where to find them.

For a trading company it matters that purchasing, stock and sales run in the same system. In Uniconta you work with one administration for your finances and your order flow, without retyping data between packages.

    Our switching service

The switch as a fixed service

The switch from King falls under the fixed switching service. What is included and what is not is on the switching page.

Older years we keep as an archive of audit files. That covers the retention obligation, without those years being loaded into Uniconta.

The fixed price means you know up front what the switch costs. What falls outside the scope, such as older order and quote history, we also name up front. That way there are no surprises afterwards.
