    Switching to Uniconta

    From Exact Online to Uniconta

You work in Exact Online and are thinking about switching to Uniconta. Then you want to know three things: what you pay now, what happens to your data and how the switch runs. Below are the prices as exact.com publishes them and the way we transfer your data.

    How it works

What you arrange when switching from Exact Online

A switch does not start with the new package but with your current subscription. Look in your agreement for the notice period and for the period in which you still need access. We cannot fill in those terms for you: they are in your own contract with Exact. Plan the switch so that you can consult Exact Online until the last closing.

Next you decide which data has to come along. Like any other Dutch accounting package, Exact Online can create an XAF audit file. That audit file is the basis for the financial migration: the current financial year in detail and the previous year as monthly totals per ledger account. For master data and open items we ask you to export lists, which we specify for you beforehand.

Finally you choose the switch date. We recommend 1 January or the start of a quarter, so that the old package closes cleanly and you start with a clean period. What a switch date means exactly is explained in the glossary. The whole sequence is in the step-by-step plan.

In practice you start with a list of what you use in Exact Online: only the accounting, or also stock, projects and subscriptions. That inventory decides which lists we need and whether there are open orders that have to come along. If you have only an administration and no orders, the switch is more compact than for a trading company with stock.

Bring your accountant or bookkeeper into the conversation too. They know the closings, the VAT returns and the particulars of your administration, and can compare the trial conversion with figures they know. Agree who checks the figures on your side and when that person has time. That is the part of the planning that is most often underestimated.

After the final transfer you work in Uniconta. You then only need Exact Online to consult old data, and an archive of audit files per year often makes even that unnecessary. That way you can end your subscription when the term allows, without losing any data.

When you end up on a higher plan

As far as exact.com states it itself, on its Exact Online Trade page (translated from Dutch):

Average number of booking lines per administration per month
    Essentialsfewer than 10,000
    Plusfewer than 10,000
    Professionalfewer than 10,000
Premiumfewer than 25,000 (can be extended)

According to Exact, Volume Packs are available in the Premium editions and are meant for organisations with more than average need for API traffic, processing capacity or data storage.

    Uniconta prices

Uniconta publishes a price list in which you choose the number of users and the functionality yourself. The page says (in Dutch): Alle prijzen gelden per maand en zijn exclusief btw. Uniconta price list (read on 3 November 2026)

    What often goes wrong

    Where it often gets stuck

The same points come back with almost every switch from Exact Online.

    • The subscription is still running

You are in a running term or have a notice period. Even so, you can prepare the switch, so the transfer is ready when the contract ends.

    • Unclear which plan you need

Exact Online has several plans. What exact.com itself names as a difference, such as the average number of booking lines per administration and the Volume Packs, is in the overview above. We draw no further conclusions from it.

    • Only balances transferred

An administration is more than balances. Open orders, subscriptions and projects have to come along too, or you start with a gap in your process.

    • Wanting to take everything

After years, there are items, relations and accounts nobody uses. We take what is needed. Older historical data we keep as an archive of audit files instead of loading it.

    • Connections that hang on Exact Online

If a webshop, bank or other system is connected to your administration, take stock of that first. Connections to, for example, your bank or webshop are possible in Uniconta; what comes with them we agree with you beforehand. A connection to Exact Online itself does not come along.

    • Reports you are used to

If you built your own reports, they do not come along. Custom reports are outside the fixed scope. You start with the standard reporting of Uniconta and then see what you still miss.

    In Uniconta

    What Uniconta makes of it

In Uniconta you get the chart of accounts mapped to RGS, the master data, the opening balance and the open items. Uniconta imports XAF 3.2 and 4.0, so the audit file from Exact Online can serve as the basis for the current financial year. You can read more about Uniconta itself on the Uniconta page.

We deliberately do not put the amounts of both suppliers side by side. The plans differ in structure, and a fair comparison depends on the number of users, the number of administrations and the functions you need. That is why the overview only shows where to find the Uniconta price list, with source and date.

The set-up starts with your own processes. We look at which parts you use in Exact Online and how they follow the standard in Uniconta: sales, purchasing, stock and projects. The starting point is fit-to-standard, so the standard of Uniconta first and only then deviations. We do not develop custom work in Uniconta, and that is why we can give a fixed price.

For your team, what mostly changes is what screens and actions are called. The processes stay recognisable: entering an order, sending an invoice, matching a payment. In the aftercare we go through the first closing with you.

    Our switching service

The switch as a fixed service

Switching from Exact Online falls under our fixed switching service: chart of accounts with RGS, master data, opening balance and open items, open orders on the switch date, stock with cost price and the financial years as described on the switching page.

Order, quote and item history older than the open items is outside the scope, as are custom reports. You know that up front, just like the price.

A fixed price means you know up front what the switch costs. What falls outside the scope we also name up front. That way there is no open-ended process in which the costs rise along the way.
