Switching to Uniconta
From AFAS to Uniconta
Do you work in AFAS and are you looking for an alternative for your financial and operational administration? Then you want to know which part of your data can move to Uniconta, what that involves and what it costs. This page explains how we approach it.
How it works
How the switch from AFAS runs
A switch starts with the question of which part of AFAS you replace. If you use AFAS for more than the financial administration, for example for parts outside finance and trade, our switch only covers the parts in the fixed scope. What you do in AFAS beyond that stays there or you arrange it separately from us.
The financial migration runs through an XAF audit file, as with any Dutch package. From it we take the current financial year in detail. The previous financial year we take over as monthly totals per ledger account. For master data, open items and stock we ask you to export lists from AFAS, which we specify beforehand.
Then comes the trial conversion: we load everything into a test environment and compare balances and open items with your own figures. Only when those match do we transfer the latest positions and the open orders on the switch date. The full sequence is in the step-by-step plan.
That last point deserves attention. A package that serves several disciplines often also holds data and processes outside the accounting. We transfer what is in our fixed scope: the chart of accounts, the master data, the opening balance, the open items, the open orders, the stock with cost price and the financial years. Everything outside it we discuss beforehand, so you do not only find out after the switch that a part is missing.
For the planning it helps to know who leads the switch on your side. One contact on your side, with time to check the trial conversion, makes more difference than any technique. We tell you at each step what we need from you and when.
Finally you decide how long you keep consulting the old package after the switch. With an archive of audit files per year for older years you have the data you must be able to produce, and you do not need to keep the old system running longer than your last closing requires.
AFAS prices
We do not state AFAS amounts. AFAS publishes its current rates itself.

What you want to know beforehand
These questions come back most often with a switch from AFAS.
Which part do you replace?
A package with many parts is rarely replaced in one go. Record which parts go to Uniconta and which do not, so nobody misses something later.
Custom reports and set-up
Reports and set-up you built yourself in AFAS are not taken over. Custom reports are outside the fixed scope; you use the standard reporting of Uniconta as a starting point.
The right switch date
A switch mid-year is possible, with the current financial year in detail. Simpler is 1 January or the start of a quarter.
Data you no longer need
Not everything has to come along. Older years we keep as an archive of audit files and do not load into Uniconta. That keeps your new administration clear. See historical data.
Parts outside the administration
If you also use AFAS for parts beyond the financial and operational administration, we do not take those over. Allow for that in the planning, so you know which parts stay in AFAS.
Connections with other systems
Connections that hung on your old package are not rebuilt one to one. Connections to, for example, your bank or webshop are possible in Uniconta; what comes with them we agree with you beforehand.
In Uniconta
What you get in Uniconta
Uniconta is cloud ERP for finance, trade, production and projects. We set up the chart of accounts mapped to RGS and transfer the master data, the opening balance and the open items. The open orders come along: sales and purchase orders, production orders, returns, transfers, subscriptions, quotes and projects.
Uniconta imports XAF 3.2 and 4.0. You can read more about what Uniconta does on the Uniconta page. We do a conversion of data from AFAS on the basis of the files you export yourself; we do not work with a live connector to AFAS.
The starting point of the set-up is fit-to-standard: the standard of Uniconta first, and only then deviations. We do not develop custom work in Uniconta, and that is why we can give a fixed price. For a company coming from a large package, that sometimes means your way of working changes a little. We discuss that in the introduction, before you decide.
If you want to know what such a switch means for your costs, look at AFAS itself for its current rates. We deliberately do not put those amounts here, because we cannot keep them up to date ourselves.
Our switching service
The switch as a fixed service
The switch from AFAS falls under the fixed switching service, with the same scope as for any other package. You can find it on the switching page.
Order, quote and item history older than the open items is outside it. That way you know up front what you get and what it costs.
The fixed price applies to the scope as it is on the switching page. That way you know up front what you get and what it costs, even if your package has many parts.
