Switching to Uniconta
Switching ERP step by step
A switch to a new system runs in a fixed order. Here you see that order, what you do and what we do, and what happens after go-live. We agree the duration concretely in the first step.
How it works
The five steps
Step 1 is the introduction. We look at which package you are coming from, which parts you use and what the switch date will be. We recommend 1 January or the start of a quarter. At the end of this step the scope is fixed, and with it the price.
Step 2 is supplying the files. You export from your old package the audit files and lists we specify beforehand: master data, open items, stock and open orders. We check that everything is complete before we begin. Step 3 is the trial conversion. We load the data into a test environment and put balances, open items and stock next to your own figures. If something differs, we find out why and repeat the trial.
Step 4 is the final transfer on the switch date: the latest positions and the open orders move across. Step 5 is the go-live: you work in Uniconta and we support the first period. Aftercare follows, as described below.
What you do and what we do is clear at each step. In the introduction and when supplying files, you are up: you say what you use and supply the files. In the trial conversion we do the work and you check the result. At the final transfer we are up, and at go-live we work together.
We agree the duration concretely in step 1. It depends on the package you come from, how many parts have to come along and how fast the files arrive. We deliberately name no time frames here, because a number without your situation says nothing.
The switch runs most calmly if you plan it around your financial year. Switching on 1 January or at the start of a quarter keeps the closing of the old package and the start of Uniconta neatly apart.
A good switch has two moments where you can stop and look back. After the trial conversion, before anything is final, and after the first closing in Uniconta. If something deviates, it is cheap to fix at the first moment and still well fixable at the second. That is why we take both seriously.
You do not have to be able to do everything yourself. What you need is someone who knows your company’s figures and can see whether they are right. The rest of the work, from converting the files to loading the open orders, we do.
What often goes wrong
What often slows the process down
A switch seldom gets stuck on technology. It more often goes wrong on the following points.
Files arrive late
The trial conversion can only start when the files are complete. That is why we specify them in step 1 and check them on receipt.
The switch date moves
A date that moves means exporting again. Choose your date deliberately, preferably at the start of a quarter or financial year.
Nobody checks the trial
The trial conversion is only worth something if someone in your company puts the figures next to the old package. That is your part of the work, and we support you with it.
A wish outside the scope
If a wish comes up along the way that falls outside the fixed scope, we say so straight away and agree what to do with it.
Wanting too much at once
A switch is also a good moment to change processes, but switching and rethinking everything at once makes it heavy. First transfer what is in the scope and improve afterwards.
Unclear responsibility
If nobody on your side drives the switch, work stays undone. Appoint one contact in advance who supplies the files and checks the trial conversion.
In Uniconta
Aftercare after go-live
After go-live you get four weeks of aftercare. After that, you can reach us on working days from 08:30 to 17:00 and we respond within 24 hours.
In that period we check the first closing together, see whether the open orders run through properly and answer questions about the conversion. For the content of your new administration, read more on the Uniconta page.
In the weeks after go-live the first closing runs through the new system. That is the moment it becomes visible whether the transfer is right, and your team finds its way in Uniconta.
After that you work with the system as it is set up: fit-to-standard, with the standard of Uniconta as the starting point. We do not develop custom work in Uniconta, and that is why we can give a fixed price.
After the switch you can let the system grow with you. The fixed switching service makes sure you start with a clean, checked administration, and you can build on that. What else Uniconta can do for your company is on the Uniconta page.
Our switching service
The method as a fixed service
These five steps together form the fixed switching service, with a fixed scope and a fixed price. What comes along and what does not is on the switching page.
The opening balance is the first result you check; the rest builds on it.
A fixed price means you know up front what the switch costs. What falls outside the scope, such as older order and quote history and custom reports, we also name up front.
